Several EPC assessments can produce one payment from a letting agent and a separate cluster of scheme charges. Without the supporting statements, it is easy to see the money received but lose sight of the fees earned and costs incurred.

For a sole trader energy assessor, the useful approach is to connect each assessment with its invoice, payment and lodgement costs. Making Tax Digital then becomes a regular summary of records you already need to run the practice.

When Making Tax Digital applies

Making Tax Digital for Income Tax changes how qualifying sole traders and landlords keep records and report income. Under HMRC’s timetable, the starting points are:

  • From 6 April 2026, if qualifying income exceeded £50,000 in 2024–25.
  • From 6 April 2027, if qualifying income exceeded £30,000 in 2025–26.
  • From 6 April 2028, if qualifying income exceeded £20,000 in 2026–27.

Qualifying income generally means gross self-employment and property income combined, before expenses. Salary, pension income and dividends do not count towards this particular test. Check HMRC’s qualifying income guidance, including the treatment of VAT and shorter accounting periods where relevant.

The test uses the relevant earlier tax year; passing a figure during a busy month does not mean you join that day. Exemptions can apply. These rules concern your individual business and property income, rather than a limited company’s Corporation Tax reporting.

Accreditation and lodgement costs

Retain invoices for your accreditation scheme, assessment software and certificate lodgement charges. Providers such as Elmhurst, ecmk or Quidos may package services differently, so use your actual agreement and invoice rather than assuming a standard national charge per EPC.

GOV.UK’s energy certificate guidance explains the use of accredited assessors and the separate process in Scotland. The scope of your qualification and accreditation matters: domestic and non-domestic assessment work should not be treated as interchangeable permissions.

Relevant ongoing fees supporting the existing trade may be allowable under section 34 of the Income Tax (Trading and Other Income) Act 2005. HMRC’s business purpose guidance supplies the general test.

Prepaid credits and bundled charges

If you buy a bundle of lodgement credits, keep evidence of the purchase and subsequent use. Under the cash basis, ordinary eligible business payments generally follow payment timing. A refundable balance or more unusual contractual arrangement needs separate review rather than an automatic expense assumption.

Where a scheme statement combines membership, insurance, software and lodgements, preserve that breakdown. It helps you reconcile payments and understand your cost per assessment without recording the same bundle twice.

Survey equipment and digital tools

Laser measures, cameras, suitable ladders, inspection aids and a business tablet can qualify for relief. Most eligible equipment is deducted when paid for under the cash basis; traditional accounting may instead use capital allowances.

Separate routine maintenance and calibration from purchases of new equipment. Keep any private-use allocation for a camera, phone or computer used outside the practice. Accounting depreciation is not itself an allowable tax expense.

RdSAP software and related ongoing professional subscriptions may be business running costs. Keep the invoice and identify which practice activity they support. Costs incurred in updating skills for an existing business can qualify under HMRC’s training guidance; initial or unrelated career training needs its own assessment.

Travel and report-writing at home

Record the date, purpose and distance of qualifying survey journeys. Travel between properties normally has a direct business purpose. Assess home-to-work travel on the actual working arrangement, particularly where you have a regular separate office.

For eligible vehicles, simplified mileage uses 55p for the first 10,000 business miles in 2026–27 and 25p thereafter. Alternatively, actual costs may be appropriate, subject to previous claims and private use. Do not claim fuel and repairs again where the mileage method already covers them.

For home-based report writing, consider a reasonable share of eligible actual costs or the simplified homeworking rates. Telephone and internet business use needs a defensible allocation, not an assumption that the full household package belongs to the trade.

Worked example: an agent pays a batch of surveys

Alex uses the cash basis and is not VAT registered. A letting agent owes £720 for eight completed assessments at an agreed £90 each. Under the contract, it deducts a £40 administration charge before payment. These amounts are illustrative, not recommended fees.

ItemAmount
Gross assessment fees£720
Agent administration charge£40
Bank settlement£680
Separate eligible lodgement costs paid£48
Contribution before other costs£632

Alex records £720 income, £40 administration expense and £48 lodgement expense. If the agent instead purchases Alex’s services for a different agreed fee and sells its own package, the contract determines Alex’s turnover.

The batch remittance should identify the assessments it settles. A property reference is useful for matching records, without placing unnecessary household information in financial descriptions.

Keep unpaid work and tax income distinct

Maintain an outstanding-invoice list even when using the cash basis. It shows what the practice needs to collect, while tax income generally follows actual receipts. A completed assessment and an unpaid invoice should not be confused with cash already received.

Review credit notes, cancelled visits and repeat lodgements promptly. Check whether a repeat charge is yours to bear or recover under the contract. Avona AI can support categorisation, while scheme invoices and remittance detail establish the amount and purpose of each transaction.

A manageable quarterly routine

For a business using standard tax-year periods, the 2026–27 quarterly update deadlines are 7 August 2026, 7 November 2026, 7 February 2027 and 7 May 2027. Updates are cumulative: each covers the tax year so far. Calendar update periods are also available, with the same deadlines.

Keep digital income and expense records, reconcile them regularly and send the required totals through compatible software. The Income Tax (Digital Obligations) Regulations 2026 underpin the requirements; HMRC’s digital record-keeping notice explains the applicable directions. A bank feed needs supporting detail wherever a payment conceals fees, private purchases or several transactions.

Normally, record the transaction date, amount and relevant category, retaining supporting invoices or receipts. HMRC’s digital records guidance explains permitted simplifications and digital links where more than one software product is used.

Quarterly updates do not replace the annual tax return. The 2026–27 return is due by 31 January 2028, and normal tax payment dates continue. HMRC is not applying late quarterly update penalties for 2026–27, but digital records and updates are still required. That first-year approach does not waive other filing or payment obligations.

Give each assessment a clear financial trail
